When Plan B Isn’t Enough: Real Stories from the Field
Every experienced wedding planner will tell you the same thing: Plan A is what you show the couple. Plan B is what you prepare in silence. And Plan C is what separates the professionals from everyone else.
Here are two real stories from our team. Neither couple knew anything had gone wrong until long after their wedding day.
Getting 60 Guests from Positano to Amalfi by Sea
The plan was simple and beautiful. Sixty guests would ride rented Vespas along the coastal road from Positano to Amalfi for a beach dinner. The kind of moment that feels effortlessly Italian.
That afternoon, a section of the cliff road collapsed.
With less than two hours’ notice and sixty guests needing to reach their destination, the road was no longer an option. We activated our local network immediately. Within the hour, we had arranged a fleet of motorboats. Guests didn’t ride along the cliff, they crossed the water. They arrived at the restaurant from the sea, pulling into the harbour one boat at a time.
By any measure, it was a better arrival than the Vespas would have been.
The couple had zero stress. They found out what had happened weeks later, over dinner, when we finally told the story.
The Make-up Artist, Two Airports, and One Hour’s Delay
The morning of the wedding, the make-up artist’s flight from Catania to Milan was cancelled. No warning, no rescheduling, just cancelled.
We had minutes to find a solution. We located a later flight from Palermo, the next closest airport, over an hour away. The make-up artist got in the car immediately. We tracked every stage: the drive, the check-in, the boarding. The flight landed. She arrived at the venue with just one hour’s delay, easily absorbed into the morning schedule without disrupting the timeline.
The bride got ready on time. Her hair and make-up were perfect. She walked down the aisle without a shadow of anxiety on her face.
She found out about the Palermo detour two days after the wedding.
What These Stories Have in Common
Neither situation was foreseeable. Neither had an obvious solution. Both required a local network deep enough to move quickly, and the experience to stay calm while doing it.
A road closure and a cancelled flight are not extraordinary events, they happen. What is extraordinary is having the relationships, the composure, and the contingency thinking to resolve them in real time, invisibly, without the people who matter most ever feeling the disruption.
Plan A is the dream.
Plan B is the preparation.
Plan C is the experience you can’t fake.
